一、明确目的
商务写作，一定是目标导向的，或发布通知，或请求帮助，或解决问题。在动手写作之前，要反复问自己："我为什么要写这封邮件?"。可能你会觉得这个问题很容易回答，果真是这样吗?我们一起看下面这个案例：
假如你是公司的一名行政人员，公司安排了一次集体出游，需要你发邮件通知全体成员，那么以下哪条才是你的写作目的呢?
① i want to inform employees about the date of the company outing.
② i want employees to rsvp (=reply) regarding the company outing by the fifteenth of the month.
①应该是很多人的第一反应，发通知确实是最直接的目的。但如果你能做进一步的思考，很容易就会想到，除了通知之外，还需要确认参与的人数，让员工回复确认是否参加，才是这封邮件最核心的目的。①只体现了 "我要做什么"，而②体现的是"我要读者做什么"，明确目的，就是要明确你要让读者产生何种回应。
二、开门见山

相信大家读到前几句，就会困惑"这封邮件跟我有什么关系呀?"，直到读到" he requests a letter of verification of employment"，才大致猜测到作者的目的。如果我们做两处修改，第一，让目的更加明确，也就是明确人事主管需要提供什么样的帮助，第二，在邮件的开头，就表达清楚这样的目的，整体效果就会不一样：

在邮件的开头用了一个问句，礼貌的表达了诉求。读者看到邮件，就明白作者的目的是什么，如果读者需要了解谁是mr. jason brown，为什么要a letter of verification等具体信息，会自然在下文中有目的的寻找。
